InstantJobs AI (“InstantJobs AI”, “we”) is a brand of Azad Digital Systems, a company registered in England and Wales [confirm] (company number [number]), registered office [registered address]. Azad Digital Systems is the data controller. This policy explains what we collect when you use our website, our Chrome extension and our API, and what we do with it.

The short version

• Your job-application profile is encrypted on your device with a passphrase only you know. We store the encrypted copy and cannot read it.
• We don't sell your data, use it for advertising, or use it to train AI models.
• The extension only reads and fills a page when you click “Fill this application”.

What we collect

• Account: your email address and sign-in details, handled by our authentication provider (Supabase).
• Encrypted profile: the encrypted form of the profile you enter (name, contact details, work history and anything else you choose to add). Without your passphrase it is unreadable to us.
• Encrypted job list: the jobs you save or track (role, company, link, status, notes), encrypted the same way as your profile.
• Usage counts: how many fills and AI drafts you used each month, to apply your plan's limits.
• Billing: your subscription status. Payments are processed by Stripe; we never receive your card number.
• Technical logs: request time, page address requested on our API, status and a shortened identifier, kept for [30] days for security and troubleshooting.

AI features

When you ask for an AI-drafted answer (in the extension or the app), we receive the question, public details of the job (title, company, description) and only the non-sensitive parts of your profile you've allowed (current title and company, experience, education and your summary). When you choose “Fill the rest with AI” for a résumé, we receive the résumé's text for that request. We send this to our AI provider, Anthropic, to generate the result. Drafted answers are kept for up to 24 hours so the same question doesn't cost you twice; résumé text is not stored. [Confirm Anthropic data-retention terms for your account.]

The same applies to the other AI tools — résumé tailoring, cover letters, follow-up emails and interview practice: we receive only what that tool needs (for example the job description, your résumé text or your practice answer) for that one request, and we don't store it on our servers afterwards. Your résumé text and job descriptions are saved only inside your encrypted profile and job list. The free résumé keyword checker runs entirely in your browser and sends nothing to us.

The Chrome extension

The extension acts only on the tab where you click “Fill this application”. It reads form fields on that page to decide what to fill and does not collect your browsing history. Your profile is held in the extension only while it is unlocked and locks automatically after 30 minutes or when your screen locks.

InstantJobs AI's use of information received from Chrome extension APIs adheres to the Chrome Web Store User Data Policy, including the Limited Use requirements.

Problem reports

If you report that a form didn't fill correctly, we store the website's host name (for example boards.greenhouse.io), how many fields filled or didn't, and your comment — never the page's address, contents or your answers.

Who we share data with

• Supabase (accounts and authentication), [hosting provider] (servers and database), Stripe (payments), Anthropic (AI drafts), [error-monitoring provider].
• Authorities, only where the law requires it.

Cookies

We use only the cookies needed to keep you signed in. We don't use advertising or tracking cookies.

How long we keep data

We keep your account and encrypted profile until you delete your account. Billing records are kept for as long as tax law requires. Logs are kept for [30] days.

Your rights

You can see and edit your profile at any time on your Profile page, and delete your account yourself from the Account page: this immediately erases your profile, usage history and login and cancels any subscription. Past invoices are kept by Stripe as tax law requires. You can also write to us using the contact form (choose “Privacy or my data”). Depending on where you live (for example the EU, UK or California) you may have further rights, such as access, correction, portability and objection. Contact us to use them. In the UK you can also complain to the Information Commissioner’s Office (ico.org.uk).

Security

Data is encrypted in transit. Profiles are encrypted end-to-end with AES-256-GCM using a key derived from your passphrase. Because we never have your passphrase, we cannot recover your profile if you forget it.

Children

InstantJobs AI is not intended for anyone under [16].
